Annales of 18th Congress of the AIHV


Notes for Contributors

Authors of the lectures and posters presented during the 18th AIHV Congress are invited to offer their contributions for publication in the Annales, following the guidelines below. Manuscripts that do not follow these guidelines will be returned to the authors for correction, and must be returned in the correct form by the submission deadline. The manuscripts and illustrations must be submitted not later than December 31st, 2009. The maximum length for the text of each paper is 3,000 words, plus up to six plates, figures or tables occupying not more than one A4 page. Please note that tables count as illustrations. Papers in English, French and German will be accepted.

The papers for the 18th Annales will be edited by the Organising Committee of the AIHV-18 Congress. Editors will be Dr. Despina Ignatiadou (dignatiadou@culture.gr) and Dr. Anastassios Antonaras (andonar@physics.auth.gr).

The print area for the Annales volume will be 238 mm high. The layout will be composed of two 80-mm wide columns, for a total print width of 168 mm. Please use a 12-point Times Roman typeface and double line spacing

The text, references, figure captions and tables must be submitted in the form of files in Word or Rich Text Format by e-mail and on a CDROM. Please label the disc giving the name of the author, the title of paper, the software programme and the version used. The CDROM should be accompanied by an A4 double-spaced paper copy.

The illustrations submitted should be either digital original photos of high resolution, or scanned from either black-and-white photographs of high quality printed on glossy paper, or high quality colour prints or transparencies, or original line drawings, not photocopies. Files should be in either TIFF- or JPEG-format and designed for black and white reproduction, with a minimum resolution of 300 dpi. Line drawings in particular should be saved at the highest possible resolution, preferably 1200 dpi or above. It is important to prepare all illustrations to fit the size and proportions of the Annales page (see previous paragraph). All illustrations will be reproduced at single-column width unless there is a good reason for a larger size. Figure numbers and captions should be given in a separate list of illustrations. Artwork must be submitted electronically on the above-mentioned CDROM, and a printed version must also be supplied.

It is intended that the volume will have some colour illustrations. Given the cost of this, the decision whether an illustration merits colour reproduction or not will be made by the editorial committee. Again for reason of cost, it is expected that the colour illustrations will be reproduced as separate plate sections and not published as part of the body of the article. If you consider it important that the illustrations appear in the article, please submit them in a black and white format.

All the authors must sign a licence giving permission for their work and submitted illustrations to be published in the 18th Annales. A licence form is available in a word document here. Please print a copy, complete it and submit it with your manuscript. Please give particular attention to sections c) and d). Obtaining permission to publish illustrations is the responsibility of the authors. If you are using photographs or drawings for which you do not own the copyright, e.g. if they are from a published book or article, or have been provided by another institution, you must obtain the written permission of the copyright holder.

References in the footnotes
- The Harvard style of referencing will be used in the footnotes and bibliography.
- The footnote reference should give the author's or editor's surname, the date of publication and the page reference: e.g. Isings 1957, 41.
- If you are referring to a particular object and illustration, the reference should contain the author’s surname, the date of publication, the page reference of the catalogue entry and the catalogue number (if appropriate), and then the figure or plate number: e.g. Morton 1985, 52 no 27, pl. 2.
- If an author has published more than one work in a year, these should be cited as 1989a, 1989b, etc.
- If there are two co-authors cite both as follows: Stern and Schlick-Nolte 1994. et al. can be used for works by three or more authors, provided there is no ambiguity. For example, Harden et al. 1987, must not refer to more than one work by Harden and his colleagues in that year. The names of all the co-authors should be given in the list of references.
- If you include unpublished information which will be published in the next few years, cite it as forthcoming. If the information is unpublished and has been given to you by someone else, give the person’s name and pers.comm. e.g. (D. F. Grose pers. comm.)

The list of references should be arranged alphabetically; give the full details for each work in the following order:

- series title and number (if appropriate)
- place of publication (unless the place of publication is also part of the series title)
- name of publisher

Each paper will be acknowledged by email, and all papers will be sent to referees. Authors may then be asked to make revisions if the comments of the referees indicate that these would be advantageous. The editorial committee reserves the right to reject papers.
